HOW IT WORKS IN RHODE ISLAND

Getting an Apostille in Rhode Island

In Rhode Island, apostilles and certifications are issued by the Department of State's Business Services Division (the Notary Public & Apostilles unit) at 148 W. River Street in Providence, not by a county clerk. The state issues two kinds of authentication: an apostille for countries in the 1961 Hague Convention, and a certification (certificate of authority) for countries that are not. Before submitting, your document must either be an original issued by a Rhode Island state or municipal official (such as a certified vital record) or be notarized by a Rhode Island notary public with an original wet signature — photocopies are rejected. You submit the original document with a cover request naming the destination country and the per-document fee; you can bring up to five apostilles in person, and larger batches or out-of-state requesters mail the package to the Providence address. Federal documents (FBI background checks, USCIS forms, U.S. Department of State records) are not handled by Rhode Island — those go to the U.S. Department of State in Washington, D.C.

TRANSLATION + APOSTILLE

Where Certified Translation Fits

Certified translation and the apostille are two separate steps, and the order depends on direction. For a foreign civil document (a Mexican or Latin American birth or marriage certificate) used inside the U.S. for USCIS, a Rhode Island court, or a university, you generally do NOT get a Rhode Island apostille — the state only apostilles Rhode Island-origin documents — you simply need our certified English translation. For a Rhode Island-issued document going abroad (a Rhode Island birth certificate or a diploma used in Mexico or Spain), apostille the English original FIRST at the Department of State, THEN have both the document and the apostille certificate translated. The most common mistakes are translating before apostilling, asking the state to apostille the translation instead of the original, and forgetting to also translate the apostille certificate itself. If a translation must itself be apostilled, the translator's signed certificate has to be notarized by a Rhode Island notary so the state can authenticate that signature.

Translation HelpDesk provides the certified English translation with a signed Certificate of Accuracy (8 CFR 103.2(b)(3)) that USCIS accepts, and can advise on whether you need the apostille before or after translation for your specific document and destination.

FEES & TIMING

Cost & Turnaround

Apostille fee: Rhode Island's state authentication fee is small — commonly about $5 per apostille or certification — but confirm the current amount with the Department of State, since fees can change. That state fee is separate from Translation HelpDesk's certified translation, which is $0.05/word with most civil documents (birth, marriage, death certificates) landing in the $15–25 range.

Typical processing: Rhode Island apostilles: in-person requests of up to five documents are typically completed the same or next business day; mailed requests should allow roughly 10 business days plus postal time. Translation HelpDesk certified translations are delivered in 24–48 hours.

FAQ

Frequently Asked Questions

Who issues apostilles in Rhode Island?

The Rhode Island Department of State issues them through the Notary Public & Apostilles unit of its Business Services Division, located at 148 W. River Street, Providence, RI 02904. Rhode Island does not use county clerks for this — it is a single statewide office.

How much does a Rhode Island apostille cost and how long does it take?

The state fee is modest (around $5 per authentication — confirm the current amount with the Department of State before mailing). In-person requests of up to five apostilles are usually completed the same or next business day, while mailed requests should be allowed roughly 10 business days plus mail time. These state fees are separate from our certified translation charge.

Should I translate my document before or after the apostille?

If a Rhode Island document is going abroad, apostille the English original first, then translate both the document and the apostille certificate. If a foreign document is being used inside the U.S., you usually just need a certified translation and no Rhode Island apostille at all, because the state only apostilles Rhode Island-origin documents.

Can Rhode Island apostille my FBI background check or USCIS document?

No. Those are federal documents and must be authenticated by the U.S. Department of State in Washington, D.C. Rhode Island only authenticates documents issued by Rhode Island officials or notarized by a Rhode Island notary public.

Does the apostille certificate itself need to be translated?

Often yes. When a Rhode Island document is used in a Spanish-speaking country, the receiving authority frequently wants the apostille certificate translated too, not just the underlying document. We translate both together so nothing gets bounced at the destination.

Do you provide certified translations that USCIS will accept?

Yes. Every translation includes a signed certification of accuracy that meets USCIS requirements, and it is backed by our USCIS Rejection Pledge. You can request a free 250-word sample first, and most civil documents are completed in 24–48 hours.
