2. Information We Collect

Quote and contact information. When you submit our contact form, we collect your name, email address, phone number (optional), language pair, service needed, and project details. Forms are processed by Netlify Forms on our behalf.

Documents you send us. To prepare a quote or perform a translation, we receive the documents you upload or email. These may contain sensitive personal information — identity documents, medical records, court records, or academic records.

Usage data. We use Google tags (Google Ads) to measure site usage and ad conversions. These set cookies and collect standard analytics data such as pages visited and approximate location. We do not use this data to identify you personally.

3. How We Use Your Information

  • To prepare quotes and deliver translation services you request
  • To communicate with you about your project
  • To meet certification, quality-assurance, and legal obligations
  • To measure and improve our website and advertising

We never sell your personal information or your documents. We do not use your documents to train AI models, and we never paste client documents into public AI platforms.

4. Document Security & Retention

  • Documents are encrypted in transit (TLS 1.3) and at rest (AES-256)
  • Access is limited to the linguists assigned to your project, all of whom sign non-disclosure agreements
  • Medical documents containing protected health information (PHI) are handled under signed HIPAA Business Associate Agreements (45 CFR 164)
  • Documents are automatically deleted from our systems 90 days after delivery, unless you request longer retention or earlier deletion

5. Who We Share Information With

We share information only with: (a) the NDA-bound linguists assigned to your project; (b) service providers that operate our infrastructure (Netlify hosting and forms, email providers); (c) payment processors when you pay for services; and (d) Google, for the analytics and advertising measurement described above. We may disclose information if required by law.

6. Cookies & Advertising

Our site uses Google Ads conversion tracking cookies. You can control cookies through your browser settings and opt out of personalized advertising at adssettings.google.com. The site remains fully functional with cookies disabled.

7. Your Rights

You may request access to, correction of, or deletion of your personal information at any time by emailing info@translationhelpdesk.com. We honor deletion requests within 30 days, except where we must retain records to meet legal or certification obligations. Depending on where you live (including California and the EU), you may have additional statutory rights; we honor verifiable requests regardless of jurisdiction.

8. Children

Our services are directed to adults. We do not knowingly collect information from children under 13. Documents concerning minors (for example, a child’s birth certificate for an immigration petition) are provided to us by their parents or legal representatives.

9. Changes to This Policy

We will post any changes on this page and update the “Last reviewed” date above. Material changes will be highlighted on this page for 30 days.
